Venues

Keep the clubs and halls you play in one place – address, who to call, load-in, parking, stage and what the venue has. On a gig you just pick the venue.

What it's for

Venues (in the main menu, under Events) lists the places where the band plays. Each venue has its address with a link to Google Maps, its people by role (production, sound, booking…), the Stage (size, limits, power), Logistics (load-in, parking, dressing room), What the venue has and up to five photos. When a gig is linked to a venue, its page shows the venue's people, load-in, parking and stage, so nobody has to look them up again.

When to use it

  • You play the same clubs again and again and keep typing the same address and phone numbers.
  • On the day, the band needs to know who to call and where to unload.
  • You want to see when you last played somewhere and what is coming up there.

Add a venue

You need: The Manage band equipment permission.

  1. Open Venues in the main menu and select New venue.
  2. Enter the Name, the Address and the Capacity (people).
  3. Under Stage, write the Stage size, any Limits (for example a low ceiling) and the Power on stage.
  4. Under Logistics, describe the Load-in, Parking and Dressing room.
  5. Under Web & social, select Add link for the venue's website, Facebook, Instagram or YouTube.
  6. Under Contacts, select Add contact for each person – name, role, phone and email, and if you like their Position in their own words, a note and a photo.
  7. Under What the venue has, select Add item for its own gear (PA, monitors, drums…) with the number of pieces. Under Technical documents, Upload files (PDF, pictures – the venue's tech spec or stage plan) or Add link to its page, so nobody has to type it all out.
  8. Optionally select Add photo (up to five) and select Save venue.

Result: The venue opens on its page. Everyone in the band can see it, contacts included.

Link a gig to a venue

You need: The Edit events permission.

  1. Create a gig or open one and select Edit.
  2. In Saved venue, select Choose a venue… and pick it from the list – you can type to search.
  3. A venue that isn't in the list yet: type its name and select Create venue “…” (needs Manage band equipment); fill in the details later on its page. Or select Not in the list – type the place and write the place by hand as before.
  4. Select Save.

Result: The gig takes the venue's name and address. Its page links to the venue and shows the venue's contacts, load-in, parking and stage; the gig's Logistics shows the venue's load-in and parking above the gig's own notes. Remove venue in the gig's form unlinks it – the place stays written on the gig.

Change or delete a venue

You need: The Manage band equipment permission.

  1. Open the venue and select Edit, change what you need and select Save venue.
  2. To remove it, select Delete on its page and confirm.

Result: A new name or address also appears on the venue's upcoming gigs; past gigs keep what they were played as. After deleting, the gigs keep the venue's name and address – only the link and the photos are gone.

Find a venue

  1. Type in Search venue or address….
  2. Select With events to see only venues that have gigs, or All.

Result: Each venue shows its address, capacity, what it has and how many events you have there, with the next or the last date. Its page lists Events at this venue.

Permissions and limits

  • Everyone in the band sees the venues and their contacts.
  • Adding, changing and deleting venues needs Manage band equipment (Band Admin and Road Manager by default – see Roles & permissions).
  • Linking a gig to a venue needs Edit events; creating a new venue straight from the gig's form also needs Manage band equipment.
  • Venues are part of the Band plan; on Free the venues stay visible but new ones can't be added – see Plans.

Examples

Your regular club

The Blue Room: production Anna, sound Tom, load-in from the courtyard, one van in the yard. Add it once; on every new gig there pick The Blue Room in Saved venue – the band sees who to call and where to unload.

A club you have never played

While creating the gig, type "Club Mercury" in Saved venue and select Create venue “Club Mercury”. After the call with the club, open the venue and add the address, the sound engineer and the stage size.

Common mistakes

  • Writing the club's phone numbers into each gig's notes – keep them on the venue, the gig shows them.
  • Typing the place by hand when the venue is already in the list – the gig then doesn't show the venue's contacts and load-in.
  • Writing details for one gig only (for example "this time we use the side door") into the venue – they belong in the gig's Logistics.

Troubleshooting

I don't see New venue.

It needs Manage band equipment – ask a band admin. On the Free plan new venues can't be added.

The gig's form has no Saved venue choice.

The band has no venues yet and you can't add them. Someone with Manage band equipment adds the first venue under Venues.

An old gig still shows the venue's old address.

That's on purpose: a change reaches only the upcoming gigs, past ones keep where they were played.
