Band equipment
Keep a list of the band's gear – PA, backline, mics, cables – with who keeps it, its state and, for finance, what it cost. Pick it for a gig's equipment list in a few taps.
What it's for
Equipment (in the Admin part of the menu) lists everything the band owns, by category, together with the members' own gear from their profiles. Each item says who keeps it, where it is stored and its state. A gig's Equipment list can take items straight from it, and Pulse warns when an item needs repair, is lent out or is already on another event that day.
When to use it
- You want one list of what the band owns and who has it at home.
- You plan a gig and want to tick what you bring instead of typing it again.
- Something broke or was lent to another band, and nobody should count on it.
- The treasurer needs the purchase price and the receipt of an item.
Add the band's equipment
You need: The Manage band equipment permission.
- Open Equipment in the Admin part of the menu and select Add equipment.
- Enter the Item (for example "Behringer X32 Compact"), the Category and the Quantity.
- Choose who it is Kept by and write Where it's kept (for example "rehearsal room, left shelf").
- Set the State: OK, Needs repair, Lent out (then Lent to and Until) or Retired.
- Optionally add the Serial number, Notes and a Photo.
- If you can see finances, fill in Purchase: Bought on, Price and the Receipt (a PDF or a photo).
- Select Save.
Result: The item appears in its category. Select it to see its details, its photo and the gigs it is (or was) on.
Find an item
- Type in Search equipment – it looks in names, keepers, places and notes.
- Use the filters: All, Band, Members, Needs repair or a category.
Result: Members' own gear is marked "own – from profile". Every item opens its page with the details and the gigs it was or will be on; members' gear is changed only by its owner, in their profile.
Change or delete an item
You need: The Manage band equipment permission.
- Open the item and select Edit. Change what you need – for example the State when something comes back from repair – and select Save.
- To remove an item, select Delete and confirm.
Result: A deleted item disappears from the list; gig equipment lists that had it keep the line.
Take equipment to a gig
You need: The Plan gig logistics & crew permission.
- Open the gig's logistics (Logistics card → Plan logistics or Edit).
- In Equipment, select From band equipment.
- Tick what you bring. Items that need repair, are lent out or are already on another event that day are marked, with a warning.
- Select Add, then Save at the bottom of the page.
Result: Each item becomes a line marked "from the band's equipment" (or "… own"), with the person who keeps it as Responsible. They tick Packed as usual, and the item's page lists the gig.
Make an equipment template
You need: The Manage band equipment permission.
- Open Equipment in the Admin part of the menu and switch to Templates.
- Select New template. A new page opens: type the name at the top (for example "Shared backline") and, if you like, a description under it.
- Add the items: From band equipment for the band's gear and members' own gear, or Custom item for anything else (for example "PA (main speakers)"). Each line shows where it comes from.
- For each item set the quantity and who provides it: We bring, Venue or Not needed, and add a note if needed.
- Switch on Offer it for new gigs if this is the list you use most.
- Select Save template.
Result: The template appears under Templates with its items. Edit opens it again; the ⋯ button lets you offer it for new gigs (or stop) and delete it – gigs that already used it keep their lists.
Use a template on a gig
You need: The Plan gig logistics & crew permission.
- Open the gig's logistics (Logistics card → Plan logistics or Edit).
- In Equipment, select Use template, choose the template (the one offered for new gigs is preselected) and select Add … items. Warnings show items that need repair, are lent out or are on another event that day. If the list is still empty and the band has a template for new gigs, Pulse offers it right there – select Use.
- Adjust the list: change quantities, who is Responsible, or remove lines.
- Select Save at the bottom of the page.
- To keep a list for next time, select Save as template (needs Manage band equipment).
Result: The template's items are added; anything already on the list is skipped, so using it twice adds nothing. Items marked Not needed stay on the list crossed out, so everyone sees they were thought of. The person who keeps a band item is set as Responsible.
Permissions and limits
- Everyone in the band can see the band's equipment on gig lists; the Equipment page itself needs Manage band equipment (Band Admin and Road Manager by default – give it to a sound engineer through their role, see Roles & permissions).
- Purchase (date, price, receipt) is only visible to people with See all finances, and only they can change it.
- Adding items to a gig needs Plan gig logistics & crew.
- Templates are made and changed with Manage band equipment; anyone who may Plan gig logistics & crew can use them on a gig.
- Members change their own gear only in their profile – see Equipment & vehicles.
- Band equipment is part of the Band plan; on Free the list stays visible but new items can't be added – see Plans.
Examples
The cymbals are lent to another band
Set the State to Lent out, Lent to "The Neighbours", Until 20 October. Until then the picker marks the cymbals, so nobody plans them for a gig.
Two gigs on one day
The X32 is on the afternoon festival. When you plan the evening club gig, the picker shows "Also on Festival that day" next to it – bring the small mixer instead.
The usual club gig
Most clubs have a PA but no drums. Make a template "Club – shared backline": our snare, cymbals and drum mics (Band), the PA (Venue), risers (Not needed). On each new club gig select Use template, then only change what is different.
Common mistakes
- Typing the gear into a gig's list by hand – use From band equipment, then the item's page shows where it was used.
- Forgetting Save at the bottom of the logistics page after adding items.
- Leaving a broken item on OK – set Needs repair so the picker warns.
Troubleshooting
I don't see Purchase.
It is only for people with See all finances.
From band equipment shows nothing.
The band has no equipment yet (retired items aren't offered). Someone with Manage band equipment adds it under Equipment.
The template has nothing new: the button says Nothing new to add.
Everything in it is already on the gig's list – lines with the same item or the same name are skipped.
